Reminders

 

A reminder is a notification that's launched in advance of the date recorded in any date field. This page allows you to set reminders for the various date fields in SysAid. For example, a Warranty Expiration reminder could be launched 14 days in advance of the date recorded in the Warranty Expiration field.

 

Reminder notifications can send emails, send SMSes, and/or open service records.

 

 

To add a new reminder:

  1. From Settings > Customize > Reminder Notifications create the notification that you need. Instructions for doing this can be found here.
  2. In the Reminder Date column, choose the date field that triggers the reminder.
  3. In the Notification column, choose the notification to be sent. You created this notification in step 1.
  4. Choose how many days in advance the notification will be sent. For example, if the date field has the date 10 August and you pick 7 days in advance, the notification will be sent on 3 August.
  5. In the Alert Time field, choose the hour of the day when the notification will be sent.
  6. (Optional) Click the ellipses button to open the expression builder. This allows you to create any relevant filter for your reminder. For example, you could create a filter for the Warranty Expiration reminder that specifies that the notification will only be sent if the asset is not disabled.
  7. Click Add to add your new reminder.

How and where can we setup the schedule for the project to start? Else, I can only select how many days in advance to send the alert. Appreciate all comments.

If I setup a reminder for a task with the send alert before days set to 5, when does this reminder get sent?

If the date is 5 days from now, I get the reminder will be sent 5 days from the date you use (in my case task.custDate1), but what about the next day?
If there a way to setup a reminder to say, send when the date (task.custDate1) is within 5 days (meaning 5 days or less) and the task status is open?

Example:
I have a task with a deadline date (task.custDate1) of 03/10/2013 and I am currently working on the task (therefore the status of this task is open or in-progress)

If I have a reminder set to remind me 2 days before, I get the reminder today (03/08/2013). I have tested this and I know that it works that way.
But what about tomorrow (03/09/2013)? It is now 1 day before the task is due and the status is still open.

I don't suppose I can set this up to continue to send the reminder until the task is closed can I?

I have tried to set the Filter Expression, but it will only allow me to set one filter item. I would like to set the filter to be something like this:
Assigned To = 'joep' and Status = 'open'

But even if I set this filter will it continue to send the reminder until the status is no longer open? Or will it only sends the reminder X number of days out, then when it is X-1, the reminder will not be sent.

Is this correct?

I believe I might have answered my own question after some testing.

If I create a reminder for 5 days, another one for 4 days, another one for 3 days, etc... It will send a reminder every day once it is inside 6 days (or starting 5 days out).

I also found that I was able to create a filter and then manually type in the second part of it, and it seems to be working.

Example:
Assigned User = joep and Status = Open/Progress

I created the Assigned User = joep and then just manually typed in Status = Open/Progress.

The only problem I see is that if the date (task.custDate1) is past, it will not send the reminder.

I did try to setup a reminder with a -1 days, but it has to be a number between 1 and 1000.

Any thoughts?
